Agreement and Cancelation policy

Electronically signed Policy and Agreement

*All Party Packages must be paid 7 days (One week) prior to party. Including Characters, Performers, Rentals and parties at our Venue. Refunds require a cancellation request of 3 weeks (21 days) prior to the event.

All rentals and reservations require customer to;

  • Minimum of 21 years old
  • A valid credit card on file.
  • The client must show I.D on arrival for rentals.
  • If age is in question for services and I.D must be on file
  • Electronically signed agreement during online reservation

*Marketing

We may take pictures of our attractions or guests engaging with characters or equipment at your event for our social media page and Marketing purposes only.( Please inform us in writing if you decline photos at your event.)

Donation Requests:

We receive hundreds of donation requests a year. As a small business, we honor some donation request based on the business or event structure. We may honor your request if your business or Event is a non-profit. If you or any persons in your organization have a business relationship with Birthday N The Box your request may be considered priority, depending on the nature of your event. The contract is still required. A deposit is required for rentals which is fully refundable once equipment is returned in the same condition, and within the contracted time-frame.

*Rentals and Deliveries!

*No same day delivery for Characters or Attractions. We recommend you reserve your Party, Attraction or Characters the minimum of 30 days in advance.

*We require at least 72 hours in advance.

*All inflatable deliveries in Cuyahoga County are free delivery from Middleburg Hts. Ohio up to 5 miles.

*Safety and equipment policy must be signed.

Outdoor Inflatables and other party rentals

  • We cannot guarantee any specific time, but can give a time frame.
  • Any inflatables more than 80 feet from street will be an additional $100. We do not carry Inflatables up or down stairs.
  • Birthday N The Box will give you a courtesy call 30 minutes prior to dropping off the attractions or character Delivery..
  • We require Access close to the entrance of setup.
  • We do not provide services in public parks.
  • Please cover rentals with Tarp while raining.
  • Please follow safety instructions given for inflatables.
  • An adult over 21 years old must always be present.

Full Refund for Early Cancellations

📅 Need to adjust your plans? Cancel your event or downgrade your party package at our venue at least 21 days or 3 weeks from the event in advance, and we'll gladly refund your full deposit. It's our way of making sure you feel secure in your booking decisions. 🕒

Credit for Moderate Cancellations

🤝 If you find it necessary to cancel your event 10-19 days before the scheduled date, we offer a $100 credit for future use. Use it within a year for the same service, and let us help you create unforgettable memories when you're ready. 💌

Considerations for Last-Minute Changes

🔍 Sometimes, circumstances arise that prevent you from hosting your party. For cancellations made 9 days or less before your event, you may forfeit your $100 deposit. For cancellations within 48 hours to the day of the event, you will be encouraged to reschedule and execute the event within 30 days, based upon availability, or the total payment might be forfeited.. We reserve events on a first-come, first-served basis. 📭

Outdoor Weather related cancellations!

The $100 refundable deposit is required for all reservations.

OUTDOOR RENTALS! Inventory is being reserved for your event that would otherwise be rented to others. It is your responsibility to have an indoor option or other alternative location for your event in the case of weather related issues. There are no refunds due to inclement weather..

We will reschedule your inflatable rental or A credit used for a future event will be provided for events cancelled due to weather pursuant to the policies below.

If www.weather.com is forecasting a 60% or greater chance of rain on the day of your event, you may elect to cancel your order within 72 hours prior notice and receive a credit of $100 and a refund for the remaining payments. This policy does not apply to any other rental. (These attractions are under our standard cancellation policy.) Birthday N The Box will provide a credit/ rain check for the amount of your deposit $100 to be used on a future date for any item you choose to order. (Good for 1 year).

Inflatables cannot be operated in rain, lightning or high winds. Birthday N The Box desire all of our customers have full use and safe enjoyment of their inflatable rental.

Unfortunately, once our delivery has arrived at your event, all the costs of providing a clean and sanitized inflatable have been incurred. Birthday N The Box cannot provide refunds/credits for limited or no use due to weather.

Please make your weather related cancellations at least 72 hours prior to your event to receive a credit of $100 and refund. 48 hours or same day cancellations are a forfeiture of payment. Birthday N The Box shall have the sole and unilateral right to cancel deliveries should the weather not be conducive for the set up and safe operation of your inflatables.

Downgrading your party at our venue.

  • Downgrading your 3 or 4 hour package to a 2 hour package, will leave an opening which could have been booked By another customer. Downgrading party packages will be available up to 14 days or 2 weeks prior to your event. After 14 days you will be charged an additional $100-$150 and all standard cancellation policies applies moving forward.

  • Cancellation of a 2 hour party that was originally a 2 hour party, falls under our standard cancellation policies.

PARTY CHARACTERS

Party Characters travel 5 miles at no cost from Middleburg Heights, Ohio. After 5 miles, we charge $2.50 per mile thereafter. Party Character visits require a 72 hour notice for an appearance. No same day reservations. BIRTHDAY N The BOX staff will call 48-72 hours prior to delivery to confirm details, make allowable changes and finalize balance.

Party Characters are no more than a 30 minute performance for the safety of the performer. If you request an hour, you will be charged an additional party package which includes a 1/2 hour break for the performer. The Character and staff will sing Happy Birthday, take pictures, dance and play games. Party Characters are only available to go to physical locations with a physical address.

There are no refunds issued or time adjustments due to an inconvenience of reaching our customer once we are at your location.

Private Kids Venue

Our venue is for kids under 9 years old.

We are a shoe free facility! Socks or footies only on padded floors.

Please do not exceed the maximum capacity of 55 guests, including children and adults.

Maximum capacity is enforced for the safety of all guests.

Customers are responsible for cleaning the party room of all their personal items if brought in.

Customers can only enter party center at the time reserved for setup. Party bookings are 2, 3 or 4 hours. All setup and clean up must be done within this time frame.

Customers are responsible for the cake or cupcakes. The pizza we provide and juice are for the children. Customers can add additional pizza if they choose. There may be pizza left if you have less children or small children.

Customers may bring their own food by purchasing the food permit.

Basic decorations are permitted. No outside food or beverages are permitted without the food permit by any guests.

Food Permit

  • The food permit is purchased by customers who choose to bring in their own food. By purchasing The food permit, you release Birthday N The Box and all of its affiliates from and concerns or issues that may occur from food not provided by Birthday N The Box.

ATTENTION:

  • Please be informed of additional cost if they arise.
  • $50 per 1/2 Hour if guests exceed party time reserved (We do not prorate time)
  • $25-$100 Cleaning fee
  • $50-plus for any broken equipment or damages.
  • $39.99 If any guests bring in outside food when no permit is included.
