โœ๏ธ Reservation & Payment Policy

All reservations require an electronic signature to be confirmed.

All Birthday N The Box party packages and services must be paid in full 7–10 days prior to the event.

We do not accept payment on the day of the event.

This policy allows our team to focus completely on creating a smooth, joyful, and memory-filled celebration for you and your guests.

โŒ Cancellation Policy for Rentals & Venue Reservations

To receive a full refund, cancellations must be made at least 21 days (3 weeks) before the event date.

โœ… Full Refund for Early Cancellations

๐Ÿ“… Need to change your plans? Cancel or downgrade your venue party package at least 21 days (3 weeks) before your scheduled event and receive a full refund of your deposit. We want you to feel confident booking with us. ๐Ÿ•’

๐Ÿ’ณ $100 Credit for Moderate Cancellations

๐Ÿค If your plans change 10–19 days before the event, you’ll receive your deposit back as a $100 credit toward a future booking. This credit is valid for up to 1 year and can be used for the same type of service.

๐Ÿ” Cancellations made within 6-9 days of the event may result in forfeiture of the $100 deposit only, Any other payments will be refunded.

In the rare event that Birthday N The Box must cancel an Open Play session or a scheduled event for any reason (e.g., emergency, weather, staffing, or facility issue):

We may take pictures of our attractions or guests engaging with characters or equipment at your event for our social media page and Marketing purposes only.( Please inform us in writing if you decline photos at your event.)

๐Ÿ  Private Venue Policies –

๐Ÿšซ Capacity & Guest Conduct

Please do not exceed the maximum guest capacity stated in your party package.

For Premium Packages, the maximum is 55 guests, including both children and adults.


Capacity limits are enforced strictly for guest safety and comfort.

All guests must follow posted policies and staff instructions.

๐Ÿท Alcohol Policy

If alcohol is brought into the venue, an Alcohol Waiver must be signed in advance.

Alcohol is permitted only in the VIP party room, and must be:

Monitored by an adult over 21 years old

Kept to a reasonable limit to ensure safety and family-friendly standards.

Guests who fail to follow these rules may be asked to remove the alcohol or end the party early.

Adults must remain on the premises and supervise their children at all times.

๐Ÿ”ฝ Package Downgrades & Short-Term Cancellations

โณ Downgrading Your Party Package

Downgrading a 3- 4 or 5-hour party to a 2-hour party reduces valuable booking space that could have been reserved by another customer.

Package downgrades are permitted up to 14 days (2 weeks) prior to your event.

After 14 days, downgrading your party will incur an additional fee of $100–$150, and standard cancellation policies will apply from that point forward.

โŒ Cancellation of a 2-Hour Party

If your event was originally booked as a 2-hour party, any cancellation will follow our standard cancellation policy based on the timing of your notice.

โœ๏ธ Waivers & Liability

All guests (adults and children) must complete a waiver or registration form prior to entering play or eating areas.

These waivers release Birthday N The Box from liability related to:

Physical activity

Food consumption

General incidents during the event

๐Ÿงน Setup, Cleanup & Decorations


Customers are responsible for cleaning the VIP party room of all personal items and any food brought in.

While we recommend keeping decorations minimal, customers may bring basic decorations.

Entry for setup is allowed only at your reserved start time.

All setup and cleanup must occur within your reserved time (2, 3, 4, or 5 hours).

Exiting Policy: You have 10 minutes after your event ends to fully vacate the venue (guests, gifts, food, etc.).

Exceeding this grace period may result in a $50 charge.

๐ŸŽ‰ Party Experience


All kids’ parties are supported by a professional party coordinator to ensure a fun, organized, and memorable experience.

๐Ÿฐ Food & Cake Policy
You may bring a store-bought cake or cupcakes without a food permit.

The included pizza or hot dogs and juice are for the children only.

Beef Hotdogs or Chicken Corn dogs are included in the all inclusive price. Pizza is provided via an outside vendor (upgrade).

Additional pizza can be purchased upon request.

To bring home-prepared food, cake, or beverages, you must purchase a Food Permit.

No outside food or beverages are allowed without a valid food permit—this applies to all guests.

๐ŸŽช Rental Policies

โฐ Booking & Delivery Requirements

No same-day bookings or deliveries for characters or attractions.

We recommend booking your party, attraction, or character at least 30 days in advance.

A minimum of 72 hours’ notice is required for all rentals.

Inflatable deliveries within Cuyahoga County include free delivery within 5 miles of Middleburg Heights, OH.

A signed Safety & Equipment Policy is required before setup.

๐Ÿงš‍โ™€๏ธ Party Character Policy

Standard character visits are limited to 30 minutes to ensure the safety and comfort of the performer.

If you request a 1-hour appearance, an additional party package fee will apply, which includes a mandatory 30-minute break for the performer between sets.

During the visit, the character and staff will:

Characters can only appear at verified physical addresses (no PO boxes or unlisted venues).

๐Ÿšซ No Refund for Accessibility Issues

No refunds or time adjustments will be issued if our team is unable to reach you upon arrival at your event location.

๐ŸŒค๏ธ Outdoor Inflatables & Party Rentals

Delivery time frames are approximate; we cannot guarantee exact times but will provide a courtesy call 30 minutes prior to arrival.

Inflatables placed more than 80 feet from the street will incur a $100 fee.

We do not transport inflatables up or down stairs.

Direct, level access to the setup area is required—please ensure the path is clear.

Rentals must be covered with a tarp during rain.

A $100 refundable deposit is required for all outdoor reservations.

When you book an outdoor rental, that equipment is held exclusively for your event, and cannot be rented to others.

Clients are responsible for securing an indoor or alternate location in case of inclement weather.

If www.weather.com forecasts a 60% or higher chance of rain on your event date:

You may cancel the rental with at least 72 hours’ notice, and receive:

A credit for a rescheduled date

This policy only applies to inflatable rentals. All other rentals follow our standard cancellation policy.

Weather credits are valid for 1 year and may be used toward any future rental.

For the safety of your guests, Birthday N The Box reserves the right to cancel or halt setup if weather conditions are unsafe.

Tarping and protecting the rental during unexpected weather is the responsibility of the customer.

Once our team has delivered your inflatable, all costs for cleaning, transport, and sanitizing have been incurred.

No refunds or credits will be issued for limited or no use due to weather after delivery has occurred.

Clients who wish to bring in their own food must purchase a Food Permit.

By purchasing the food permit, you agree to:

Food allergies

Undercooked or improperly prepared food

Expired or outdated food

Foodborne illnesses

โ— This includes any food not provided by Birthday N The Box, whether store-bought or homemade.

Open Play is for children ages 1–9
Our Open Play sessions are created to give children a safe, fun, and welcoming environment to explore, play, and enjoy!

Sessions are held in 2-hour increments

Reservations are required to help us manage capacity and ensure a quality experience for every family

We maintain a limited guest capacity during Open Play to prevent overcrowding and ensure children feel calm, supported, and engaged

To maintain the integrity of our Open Play experience:

No outside food or beverages

No party-related items, including:

Cakes or cupcakes

Balloons

Gifts

Decorations

Any items intended for celebrations

By attending an event or visiting our venue, you acknowledge and agree that photos and videos taken during your visit may be used by Birthday N The Box for marketing and promotional purposes.
This includes, but is not limited to, use on our:

Website

Social media platforms

Printed materials

Digital advertisements
